Title:                Receptionist

Reporting to:         Office Manager

Responsibilities:

   Answers both incoming calls and internally placed calls promptly;

   Welcome visitors in a professional and courteous manner;

   Accept mails/fax and deliver to the appropriate person

   Trip organization: Flight / Hotel Reservation;

   Arranges for EMS or other courier for outgoing mails/documents;

   Update employee telephone list;

   Assist Admin Manager to maintain office facilities to ensure an effective and efficient office administrative service

   Office support in processing forms, filing, scanning and record;

   Other general admin. duties as assigned when necessary

Qualifications:

   College or University degree

   Good computer skill with MS Office.

   Good communication skill of both English and Mandarin

   Able to work under pressure and handle multitask

   Strong team-working spirit

Well organized; service and details oriented

Responsibilities:

·         Diary management including scheduling meetings, conference calls, dinners, etc as necessary 

·         Itinerary management including booking flights, hotels etc.

·         Expense management (T&E)

·         Minutes taking at Management Meetings

·         Coordinate meetings & conferences

·         Answer telephone in absence of Executives, accurately record and take messages in a friendly manner, and forward to the appropriate party.

·         Responsible for following up any issues and or tasks as assigned

·         Point of contact for all International Visitors

·         Compose, type, and distribute meeting notes, routine correspondence, and reports.

·         Other daily secretarial support including making copies, handle mails, faxing and filing etc.
