Position Purpose
This position is responsible and integral for the smooth and effective running of the office environment and providing administrative support to each of the Departments, particularly Operations and HR, and to members of the Management Group, particularly the General Manager. Specific tasks may be required to be completed on a routine or ad hoc basis.

Job Description

General Admin/Office Management
·   Assist in all the major communication activities with leaders and within office
·   Assist to improve company IT environment and manage IT facilities.
·   Be responsible for business travel expenses management, analyzing monthly relevant   expenses.
·   Be responsible for daily general administration of office according to company admin   management policy, including facilities, stationary, mail and office environment etc.
·   Be responsible for visitors reception and itinerary arrangement and accommodation.
·   Office HSE management, including office check and fire inspection, etc.
·   Prepare meeting facilities, take minutes and prepare for the meetings.

Assist the Operations Department
·   Control of Ops department asset and tools.
·   Co-ordinate office maintenance activities for the Ops department.
·   Prepare monthly Ops and Trips/Leader tracking reports

Assist the HR Department
·   Be responsible for the leader contract filing
·   Co-ordinate events and conferences.
·   Maintain all the travelling and leaving records.
·   Organize team building and various activities to strengthen the coordination of related departments.
·   Other works assigned by HR/Admin Manager.

Assist the Finance Department
·   Coordinate with Finance Dept. for the monthly invoice checking

Qualifications and Experience
Outstanding organizational and customer service skills, including excellent attention to detail;
Ability to independently plan, priorities and manage workload;
Experience in analysis and creating reports;
Competent in Microsoft Office (Word, Excel, PowerPoint);
Ability to communicate in Mandarin and English;
Ability to retain confidentiality
